Weston-super-Mare Masonic Hall Company Ltd terms and Conditions of hire

The premises are managed by Weston-super-Mare Masonic Hall Company hereafter referred to as “the Company”.

 

All bookings are made via the Bar Manager who is the Company’s representative in these matters.

 

1.      Hirers are expected to familiarise themselves with the facilities, exit routes and fire extinguisher locations diagrams, fire notices and locking up checklists provided by the Company.


2.      The hall is fitted with 24 hour recording CCTV both internally and externally and the company is registered with the Information Commissioner’s Office to record events in compliance with the General Data Protection Regulations 2018.


3.      The Hirer will be responsible for;

·         Maintaining good order and conduct of all guests on the premises

·         Obtaining the consent of the Company before any decorating of the Hall

·         Leaving the premises in the same state as they were found upon entry.

·         Replacing all Tables and Chairs as found

·         Ensuring

o that nothing stuck or pinned to the walls

o that all rubbish is taken home on completion of the event

o that access to and from Fire Exits are kept clear of obstructions at all times

o Enforcing that no one smokes in the hall and the designated smoking area outside of the Building is used for this purpose.

o that the minimum of noise is made on arrival and departure, particularly late at night or early in the morning

o that the sound from any entertainment (music or otherwise) is kept to a reasonable level within the hall.

o that the number of persons on the premises do not exceed 100, in accordance with the fire regulations

o that the function ends by 12.00am (or as stipulated on the booking form) and guest leave quickly and quietly.

·         Not allowing

o Anyone to smoke anything on the premises (including E-Cigarettes)

o Gambling, Betting or Lotteries to take place on the premises

o The use of any kind of firework or other explosive devices

o Anyone to bring alcohol for their personal consumption into the building.


4.      The hall bar is well stocked with a variety of beverages both hot and cold. If use of the Bar is required it will be managed by the Company.  The Bar Manager will assess the age of any person attempting to purchase alcohol and if there is any doubt will require suitable photographic Identification.  The hirer will also be responsible if any attendee attempts to purchase alcohol for someone underage.  In such cases the alcohol will be retrieved from the underage individual and the person who committed the offence will be refused further service at the bar.  It is not permitted for the hirer or any attendees of the event to bring in their own alcoholic or other beverages for consumption in the hall under any circumstances.  Only beverages purchased from the Bar may be consumed.


5.      Provision of food

·         The hirer may engage the Company appointed caterer, WSM Catering Ltd to provide food for the event. The hirer will have to negotiate this service directly with the caterer who provide a complete service.

·         The hirer can provide their own food however, the Hall Kitchen can not be used preparation or any other purpose connected with such food and no equipment (Cutlery, Crockery, Etc.) may be taken from the kitchen for this purpose.  Any items required to consume or display such food must be provided by the hirer.  Also all debris connected with this food (table coverings, serviettes, cutlery, plates, food waste, etc.) must be removed from the hall and taken away by the hirer.


6.      The Company have comprehensive liability Insurance that covers the building and its contents.  However for private hire, the individuals own household policy may provide cover, but each user must check with their provider or separate cover.


7.      The hall has the benefit of a Television, music and entertainment licence.


8.      The hirer will be responsible for reimbursing Weston-super-Mare Masonic Hall Company Ltd for any damage to the buildings and its contents during the period of the hire, no matter how or by whom committed, and additionally to include damage immediately prior to or after the period of hire, by those attending the event


9.      Hire Fees are payable to Weston-super-Mare Masonic Hall Company Ltd. For private Hirers, a deposit of £100, which will be returned after inspection less any costs for minor damage or losses incurred, and the hire fee are both payable in advance.  The hirer will pay for any major damage incurred accidentally or otherwise.


10.  It must be clearly understood that the Hirer of these premises is personally responsible for adhering rigidly to all the conditions set down here


11.  If the hirer a member of one of the Lodges or Side Orders meeting at Weston-super-Mare it is required that he is in attendance at the event from start to end to ensure compliance of the above and that all attendees abide by the conditions.
